Berth reservations for port

Berth reservations


With GISGRO Community and Vessel traffic module you can manage berth reservations via GISGRO together with your stakeholders. You can also easily check the availability of the berths with our visual platform combining the calendar view and map of the port.


If you want to view the calendar on full screen you can click on the icon on the up right corner of the calendar.




View the calendar


To access the calendar view open Port calls from the right side toolbar. You can choose which port sections, quays or berths you want to view by selecting from the drop down menu and change the calendar to show day, week, month or three months view. If you want to view the calendar on full screen you can click on the icon on the up right corner of the calendar. With the buttons on the upright corner of you can expand the calendar to full screen view and change the settings on what is shown and how. Activate the option Show only in assigned  berth if you would like to view reservations extending over multiple berths in the calendar only on the row of the main berth selected for the vessel. If you bring your cursor over a reservation in the calendar the name of the vessel will be shown and if you click on it you can view more details related to it.


If a reservation is visualised in the calendar with a dashed line it means some vessel details are missing

Add reservations


The port can also add reservations for it's own agent organisations via Vessel events - Berth reservations from the left side panel. There are two ways to do this!


Multiple at once


To add multiple reservations at once click on the Import button. Select an excel or csv file containing reservation information and match the columns with the correct fields in GISGRO. If the column name in the source file already matches with a field in GISGRO this linking is done automatically! Note that the file needs to include all information that is required for creating reservations including the name of the agent organisation. Each individual row will add a new reservation when you click Create reservations if there are no issues in the data meaning the selected berths are suitable for vessels and the set times are still available for example. If there are some issues the reservations affected by those will not be added and there will be an error message telling you what the problem is.


One at a time


To add one reservation click on the +Add new button. Start by selecting the agent organisation and the vessel from the drop down menus. Check the size and draught info set for the vessel and if the current info is incorrect click on the edit icon to change the dimensions and save. Set the ETA and ETD for the reservation and select a port section or a berth from the list of available ones. Only the berths with sufficient depth and lenght are offered as options!


Manage reservations


To view or process existing reservations open Vessel events from the left side panel and choose the Berth reservations tab. In the table view you can set filters and customise the information shown and save these settings as a bookmark. Click on the filters bar and set the search conditions according to what information you are interested in. If you would like to see for example which reservations are still waiting for you to process them you can easily do this by selecting to show the reservations that have pending as status (Status - Equal - Pending). In addition to setting these search conditions you can also define which fields you would like to see in the table and in which order. Click on the three dots on the upleft corner of the table and select the fields you would like to have as a column. You can also choose to group information by day from the same menu! Drag the columns from their title to edit the order.


Change the way information is organised by clicking the three dots next to column name and choose sort ascending/descending




Click on a reservation from the table to view it’s details. With the action buttons you can choose to Accept, Reject or Edit pending reservations and Re-open confirmed or cancelled ones. If you reject a pending reservation the status will change to cancelled and you can add a message stating the reason for rejection which will be sent to the stakeholder. Re-opening a confirmed or cancelled reservation returns it’s status to pending. The stakeholder who made the reservation will be notified of all actions!


Additional fields can also be added for the agent's to fill based on your process and needs. These fields can be utilised for example for uploading attachments!


You can add notes to reservations and these will be visible below the reservation details. The reservee will also be notified of added notes via email!





If your agents have permission to add & edit vessels with confirmation from port, you see a notification about new vessel details to review under the Vessel section




Manage bookmarks


If you want to save the view with the added filters and edited fields you can easily do this by selecting the Save bookmark action from the upright corner. You can choose if you want to add a new bookmark or update an existing one. If you are adding a new one you need to give a name for it before clicking Create. If you choose to update an existing one you can select which bookmark to update from the already added ones. You can also edit the name of the bookmark later on or delete it by selecting the Edit bookmark action from the upright corner. With the SET AS DEFAULT button you can specify which bookmark opens by default for users when they open the table view.


Determining one of your custom bookmarks as the default will remove the automatically added bookmark named Default.



Navigate between bookmarks


The purple button on the upright corner shows you which bookmark you have currently open (one you have added or Default). If you want to switch the bookmark you can just click on the button to select another one from the existing options and the table view immediately updates to show information according to the settings of the selected bookmark.


Edit reservations


You can edit reservations from the Berth reservations table or from the calendar view. Via the table you can change the vessel and it’s details, ETA & ETD, berth, the Community organisation handeling the reservation, locodes/portnames and possible additional details like estimated discharge hours. From the calendar you can change the vessel, berth, location of the vessel at the berth, ETA & ETD and mooring side.


Swapping reservations is only possible via the calendar view!


Via reservations table


When editing a reservation you can change all the shown details except for the additional information given by the reservee. If you need to change the vessel click on the x ** icon and choose a new one from the drop down menu. If the vessel’s current size and maximum draught info is incorrect click on the edit icon to change the dimensions and save. Set a new ETA or ETD for the reservation and select the berth from the list of available ones. Only the berths with sufficient depth and length are offered as options! Click **Next to proceed and check that all the details are correct before confirming & accepting. The stakeholder who made the reservation will then get a notification with the updated details.


Change the owner of the reservation by selecting another Community organisation from the drop down menu and click Update company




Via calendar


Click on a reservation from the calendar to open it’s details to the right side panel. If you want to move the reservation to another berth you can hold Shift key and drag with your mouse on the calendar. GISGRO will notify you if the new berth isn’t suited for the vessel due to it’s dimensions! You can move the vessel to the correct location on the berth by dragging the vessel on the map above the calendar. You can also set the location by selecting the stern bollard and distance to it in meters in the fields on the right side panel. Edit the reservation ETA and ETD by dragging the reservation bar on the calendar or setting the correct date and time in the fields. Choose the mooring side by clicking either the red or the green button or leave it open by clicking one of the options twice. When you are done click Save.





Swap reservations


You can swap reservations in the calendar by pressing shift key and dragging a reservation on top of another with left mouse button. The selected reservations will then turn red! When you drop the reservation you were dragging GISGRO will ask if you want to swap the reservations. GISGRO will notify you if the new berths aren’t suited for the vessels due to their dimensions and the swap can’t be made. The swapping will give the reservations new berths, locations at the berths, reservation times and mooring sides. Vessels and their details and the stakeholders responsible for the reservations will stay as they were! The stakeholders will be notified of these changes.




Set mooring lines


You can set mooring lines for reservations via the calendar. Click on a reservation and add the mooring lines by selecting bollards for the vessel’s mooring points. You can also double click on a mooring point to create a mooring line to the closest bollard. If you want to delete a mooring line you can hold down shift key and click on it. Remember to save the changes from the info panel on the right side of the calendar!


You can also allow your stakeholders to set the mooring lines for their own reservations in Community
