Port calls

Port calls


With Vessel traffic module you can manage port calls easily via GISGRO. You can also check the availability of the berths and add new port calls with our visual platform combining the calendar view and map of the port.


If you want to view the calendar on full screen you can click on the icon on the up right corner of the calendar.



If the feature to set colors for vessel types has been activated half of the port call bar is shown in the color of the vessel type


Port calls calendar


To access the calendar view open Port calls from the right side toolbar. You can choose which port areas, quays or berths you want to view by using the filters and change the calendar to show day, week, month or three months view. If you bring your cursor over a port call in the calendar the name of the vessel will be shown and if you click on it you can view more details related to it and edit those.


If a reservation or a port call is visualised in the calendar with a dashed line it means some vessel details are missing


Add port calls via calendar


You can add a port call by clicking on the + icon on the lower right corner of the calendar view. Choose a berth by clicking on a + sign located on it’s row. Select a vessel from the drop down menu or add a new one by clicking on the + button. You can also edit the vessel dimensions by clicking on the edit icon. Add the Locodes or port names of the port it’s arriving from and departuring to. Edit the arrival and departure times and set the vessel as arrived/departed if needed. You can also set the mooring side. If you want to move the port call to another berth you can hold Shift key and drag with your mouse. GISGRO will notify you if the new berth isn’t suited for the vessel due to it’s dimensions. Click on the ACTIONS button to Duplicate/Lock/Delete the port call.


Note that adding and editing vessels requires the user to have the permission to Vessel library or admin rights!


Port calls can also be created directly from berth reservations if the Community module is also in use and reservations are made before hand






If the same vessel visits multiple berths during it’s stay at the port you can either move the vessel during the port call or add a new berth call as part of the same port call.


  • MOVE VESSEL: Click the Move vessel button and select the time when the vessel should move to another berth. Then select the new position where the vessel should be relocated. The call will be split into two grey bars on the calendar and the latter part will be the one where the ETD and ATD times of the call are updated to.
  • ADD CALL: You can add another berth call as part of the same visit at the port by clicking the Add berth call button. First select a berth and then update the arrival & departure times. Other fields are automatically filled in based on the original call.




Set mooring lines


You can set mooring lines for port calls via the calendar. Click on a port call and add the mooring lines by selecting bollards for the vessel’s mooring points. You can also double click on a mooring point to create a mooring line to the closest bollard. If you want to delete a mooring line you can hold down shift key and click on it. Remember to save the changes from the info panel on the right side of the calendar!


You can also allow your stakeholders to set the mooring lines for their own reservations in Community




Port calls table


You can also view, organise, add and edit port call information by opening Vessel events from the left side navigation panel. In the Port calls table view you can set filters and customise the information shown and save these settings as a bookmark. Click on the filters bar and set the search conditions according to what information you are interested in. If you would like to see for example which vessels are currently at the port you can easily do this by selecting to show the port calls that have ATA but not yet ATD. In addition to setting these search conditions you can also define which fields you would like to see in the table and in which order. Click on the three dots on the upleft corner of the table and select the fields you would like to have as a column. You can also choose to group information by port call or day from the same menu! Drag the columns from their title to edit the order. You can also export the information in excel format!


Change the way information is organised by clicking the three dots next to column name and choose sort ascending/descending




Manage bookmarks


If you want to save the view with the added filters and edited fields you can easily do this by selecting the Save bookmark action from the upright corner. You can choose if you want to add a new bookmark or update an existing one. If you are adding a new one you need to give a name for it before clicking Create. If you choose to update an existing one you can select which bookmark to update from the already added ones. You can also edit the name of the bookmark later on or delete it by selecting the Edit bookmark action from the upright corner.


You can also add private bookmarks which are only visible to you




Navigate between bookmarks


The purple button on the upright corner shows you which bookmark you have currently open. If you want to switch the bookmark you can just click on the button to select another one from the existing options and the table view immediately updates to show information according to the settings of the selected bookmark.


Add Port calls via table


Multiple at once


To add multiple port calls at once click on the Import button on the upright corner. Select an excel or csv file containing port call information and match the columns with the correct fields in GISGRO. If the column name in the source file already matches with a field in GISGRO this linking is done automatically! Note that the file needs to include all information that is required for creating port calls. Each individual row will add a new port call when you click Create port calls if there are no issues in the data. If there are some issues for example an overlapping call for the same vessel the port calls affected by those will not be added and there will be an error message telling you what the problem is.


Required information for creating a port call: Berth, Vessel (name or IMO), ETA, ETD



One at a time


To add one reservation click on the +New berth call button on the upright corner. Start by selecting the vessel and berth from the drop down menus. Check the size and draught info set for the vessel and if the current info is incorrect click on the edit icon to change the dimensions and save. Set the ETA/ETD and ATA/ATD (if these are known already) for the call and fill in possible additional details and click SAVE.



Edit port calls


Right click on the row of a port call to open available actions: Filter by... / View in calendar / Edit / Lock (or Unlock). Locked port calls can't be edited unless they are unlocked first.


You can use the locking feature to make sure no edits are made anymore after the port call details have been reviewed and the call is waiting to be invoiced
