You can generate shareable links in Community to give your own stakeholders access to up-to-date info about berth reservations and port calls without having them log in to GISGRO. The link will open the combined view of calendar & map displaying the berths you have the permission to add reservations to and when changes are made the view updates automatically. You can also add external notes to both reservations and port calls and notify selected contacts about these!

Add & manage links

Open Shareable links from the left side panel to view and manage them. If you want to add a new link click on the + button and give a description. Description is optional so you can add the link without one also! Next you can determine whether to show berth calls that are not linked to reservations and choose if external notes are shown when viewing reservation or port call details via the link. In order to keep your own stakeholders notified of new or edited external notes you can add them to the Contacts to notify about changes field. When you add or edit the external notes of reservations or port calls you can choose to notify these selected contacts by email. You can set the expiration date yourself or make the link never expiring. When you save the new link it will be delivered to the added contacts by email automatically.

Expired links can be easily renewed with the same settings and information by clicking the renew icon from the list of links. The renewed link will also be delivered to contacts automatically! Links can be revoked at any time by clicking on the trash can icon which will cause them to immediately stop working.

Manage contacts

Open Contacts from the left side panel to access the details of the added stakeholders. You can look for specific contacts using the search filters offered. Click on a contact from the table to view or edit the details. Name and email are required to be able to save a contact but you can also add additional details like phone number and address. If a contact is no longer needed you can either archive or delete it. An archived contact can be activated but deleting is permanent. Deleting also removes the contact from any shareable links!
