Contacts

Overview



With Contacts you can manage the info of all clients and other stakeholders of the port in one place. You can add the details of a company, specific department or a person. You can also add groups to divide the contacts into! The contacts can be linked to features of different modules. For example subcontractors added in the contacts can be assigned to defects included in the Maintenance module!

Managing contacts is for admins and users with access rights!




Add contacts



Open Contacts tab from the left side panel. In the Contacts section you can search and edit existing contacts or add new ones by clicking on the + icon. When adding a new person to contacts use the Contact is a person slider to divide the name field into first and last name. Give a name to the contact to be able to save the it, description is optional. If the contact you are adding is a part of a group already added you can choose the group from the drop down menu. If the group that the contact is a part of hasn’t yet been added you can add it from the + icon after the drop down menu.

Note that if you are adding a subcontractor you need to click the Contact can be assigned as a subcontractor for defects box!




Contact and invoicing details



You can add more info to a contact by choosing Contact details or Invoicing details from the Add details drop down menu.

With contact details you can add email, phone number and address info. You need to fill in at least one of the detail sections to be able to save the details. With invoicing details you can add VAT id and address info. If you want to delete these additional contact or invoicing details just click on the trash can icon.

If contact details have already been added you can copy the address info straight to invoicing details by clicking the Invoicing address is same as in contact details box




Archive contacts



If you have contacts you no longer need but don’t want to completely delete, you have the option to archive those. Open a contact from the list and click on the Archive button on the lower left corner. If you want to view also the archived contacts use the toggle switch to Show archived on the list. If you want to undo the archiving you can open an archived contact and click on the Activate button.




Add groups



Open the Groups section under Contacts. You can search and edit existing groups or add new ones by clicking the + icon. Add a name to be able to save the group, business id is optional.
